Facilities Specialist

The Facilities Administrator will be responsible for overseeing the day-to-day operations of our facilities, including office space, equipment, and amenities. The ideal candidate will have excellent organizational and communication skills, as well as the ability to multitask and prioritize effectively. They will work closely with various departments to address any facility-related issues and ensure that our facilities meet the needs of our employees and clients.

Key Responsibilities:

  1. Maintain and oversee the upkeep of office space, including cleaning, repairs, and renovations as needed.
  2. Manage relationships with vendors and contractors to ensure timely and cost-effective maintenance and repairs.
  3. Coordinate office moves, including furniture setup, equipment installation, and logistics planning.
  4. Monitor and maintain office supplies and equipment inventory, ordering supplies as needed.
  5. Implement and enforce facility policies and procedures to ensure the safety and security of employees and visitors.
  6. Respond promptly to facility-related issues and emergencies, coordinating with appropriate personnel to resolve them.
  7. Oversee the implementation of health and safety protocols, including regular inspections and compliance with regulations.
  8. Develop and manage facility budgets, tracking expenses and identifying cost-saving opportunities.
  9. Collaborate with HR and IT departments to support employee onboarding and offboarding processes.
  10. Assist with planning and organizing company events and meetings, including setup and cleanup as needed.

 


Qualifications:Bachelor’s degree in facilities management, business administration, or a related field preferred.Proven experience in facilities management or a similar role, preferably in a call center or similar environment.Strong organizational and multitasking skills, with the ability to prioritize tasks effectively.Excellent communication and interpersonal skills, with the ability to interact with employees at all levels of the organization.Knowledge of health and safety regulations and best practices.Proficiency in Microsoft Office suite and facilities management software.Ability to work independently with minimal supervision, as well as part of a team.Flexibility to work outside of regular business hours as needed.
